Connecting Workforce Operations and Licensed Venue Compliance

Over a decade ago, we set out to tackle a common challenge for SMEs: staff rostering. Our comprehensive online scheduling system quickly gained the attention of a security business owner eager to streamline and automate this time-consuming task. His goal was clear — to free up valuable time to innovate and better serve his customers. Inspired by his commitment to making the world a safer place, we saw the real impact our solution could have on his business — and the industry as a whole. That spark motivated us to pursue a game-changing mission for the security sector.

Over the following year, we invested heavily in market research and worked closely with industry leaders to understand their needs. The result was the creation of Guardhouse, an end-to-end workforce management system designed in collaboration with major security players to ensure it delivers the features, functionality, and benefits the industry demands. Today, Guardhouse brings knowledge, expertise, and exceptional service to security businesses of all sizes, helping them streamline operations, enhance customer experience, and drive profitability.

In 2020, we proudly launched our UK office in Newquay, Cornwall, with stunning sea views that inspire innovation every day. This marked an exciting milestone in our journey, expanding our global reach while staying true to our mission of transforming security workforce management. Building on this success, we were thrilled to launch new offices in North and South America in 2025, bringing Guardhouse closer to our growing international customer base and strengthening our commitment to delivering world-class solutions worldwide.

About the integration

We have kept things simple. While Guardhouse stops unlicensed personnel from being rostered in the first place, the integration adds a critical on-site safety net at shift commencement. When a guard clocks in via the Guardhouse app, the system triggers a live check through Security Registers directly against government databases to verify their current licence status, expiry date, and crowd control classification. This catches any mid-cycle license suspensions or expirations that occurred after the roster was published, instantly flagging non-compliance before the guard steps onto the venue floor.

Once on shift, personnel document incidents, evictions, or injuries entirely within the Guardhouse mobile application, attaching supporting photos and media in real time. Upon submission, the complete file, including network-locked timestamps and images, automatically synchronizes with Security Registers. This creates a single, uninterrupted workflow for guards on the ground while eliminating manual double-handling and traditional paper registers.

The connected system provides both the security provider and venue client with two portal views that are specifically designed to meet their individual needs. Providers will use the Guardhouse platform as an in-real-time monitoring tool to track and view guard attendance, geo-fence-based time-in and out tracking, and verified hours worked. Simultaneously, the venue client will have access to a secure compliance dashboard through Security Registers that will provide them with live status updates on all site activities; instant notifications for incidents; and pre-formatted audit ready documentation to be used by law enforcement or other regulatory agencies during investigations.
