We acknowledge the difficulty in standardising incident reporting across your security subcontractors. System and process incompatibility necessitate manual handoffs, resulting in a reporting workflow that is demonstrably slow, error-prone, and a source of compliance risk.
After further R&D on the process, we have developed the ability for the Subcontractor Sharing of Incident Reports. This feature streamlines the process by ensuring reports for shared shifts go directly to the top company’s (contract holder) incident reporting or subcontractor management page.
This new system is designed to grant the Top Company immediate control and visibility over incident data:
- Direct System-to-System Flow: Once a subcontractor guard clocks into a linked shift via the Guardhouse mobile app, any incident report they submit is automatically routed to the top company. The subby admin never sees or handles the final report.
- Full Template Control: The guard only sees and uses the specific incident report templates that the top company has enabled for that site. This ensures every report meets your exact standards and capture requirements.
- Total Visibility & Authority: The top company maintains full ownership and authority over the report. You have instant access to view, edit, download, and approve the report from your main Guardhouse Incidents ledger. The subby guard cannot save drafts, and the subby admin cannot view or edit the report.
