No more manual payroll!

Easing the time pressure of manual weekly payroll has reduced stress for staff of Millennium Security in Darwin. Ruby Chu, Account Administrator explained, ‘Before we had Guardhouse, our payroll for 60 people took two people a total of 16 hours to process, each week.’

Millennium Security’s roster also used to be done manually, another time intensive task. Now with Guardhouse, shifts are uploaded each day and guards use the app to access shifts and to clock on and off. Administration staff can check who is working each day and see the timesheets in real time on any device, from wherever they are. The entire process takes less than one third of the time previously spent each week. ‘We can see which guards are reliable and who is always late,’ said Ruby. ‘With our hospital contracts guards need to be there 10 minutes early for handover.

The improved speed and accuracy of payroll was noticeable to management, administration staff and guards within two weeks of going live with Guardhouse. Instead of two very busy days of payroll, the administration staff does a little each day. There is more time to work on expanding the business and improving operations, to set Millennium Security up for future growth.

‘After some training sessions, we piloted at one shopping centre for a week and were ready to publish to all the sites by the second week,’said Ruby. Some time was needed to help people change their habits and clock on properly, but as she laughed, ‘Guardhouse is easy to use and no one argues about their time and pay anymore as the system automatically calculates the hours and days — the proof is there for everyone to see.’
